This position executes the business functions of the MMA office and is responsible for all general office duties, including but not limited to:
- Maintaining a variety of office records, such as database, mailing lists, and manuals
- Preparing payroll in ADP and bookkeeping functions using QuickBooks Online
- Working with accountant to ensure compliance and assistance with tax documents
- Assisting with annual external audit procedures
- Meeting preparation and conference coordination
- Conducting human resources functions
- Assisting with and co-chairing various committees
- Preparing written materials on a variety of subject matters
- Handling incoming and outgoing mail
- Answering phones and responding verbally and in writing to inquiries
- Developing administrative procedures
- Filing, copying and maintaining office equipment and supplies
The candidate must have a level of proficiency in Microsoft-based operating systems (i.e. Outlook, Word, Excel, PowerPoint) and have extensive experience with bookkeeping and payroll software. The candidate should also possess the following attributes:
- Exceptional organizational, verbal, written, proofreading, and research skills
- Ability to organize and prioritize work, multitasking where necessary
- Aptitude for maintaining confidentiality of private information
- Work independently with minimal direction
- Be a positive advocate for MMA
- Possess excellent human relations skills
- Proficient at coordinating elections and conference requests
