Middle Management Association (MMA) is hiring an Administrative Assistant

This position executes the business functions of the MMA office and is responsible for all general office duties, including but not limited to:

  • Maintaining a variety of office records, such as database, mailing lists, and manuals
  • Preparing payroll in ADP and bookkeeping functions using QuickBooks Online
  • Working with accountant to ensure compliance and assistance with tax documents
  • Assisting with annual external audit procedures
  • Meeting preparation and conference coordination
  • Conducting human resources functions
  • Assisting with and co-chairing various committees
  • Preparing written materials on a variety of subject matters
  • Handling incoming and outgoing mail
  • Answering phones and responding verbally and in writing to inquiries
  • Developing administrative procedures
  • Filing, copying and maintaining office equipment and supplies

The candidate must have a level of proficiency in Microsoft-based operating systems (i.e. Outlook, Word, Excel, PowerPoint) and have extensive experience with bookkeeping and payroll software. The candidate should also possess the following attributes:

  • Exceptional organizational, verbal, written, proofreading, and research skills
  • Ability to organize and prioritize work, multitasking where necessary
  • Aptitude for maintaining confidentiality of private information
  • Work independently with minimal direction
  • Be a positive advocate for MMA
  • Possess excellent human relations skills
  • Proficient at coordinating elections and conference requests
